Overview:
We are looking for a highly engaging, customer focused individual to join our Sales and Marketing team as a Events and Programming Coordinator. The successful candidate for this role will have a proven track record of providing exceptional service, is open to learning and leading by example, responds in a professional and courteous manner to guests and team, as well as being there to support the team both personally and professionally.

 The Events and Programming Coordinator is responsible for the planning, organizing, and execution of all community events, programming, and specials hosted by The Wigwam. This role requires a highly organized and creative individual who can develop engaging events and activities that align with the resort's brand and enhance the guest experience. The ideal candidate will have a passion for hospitality, strong project management skills, and a deep understanding of event planning. This role is the key to helping our guests discover their “Wanderlust” experience!

Your Role:

Continuously research trends in the hospitality, entertainment, and community engagement sectors to inspire fresh and innovative event ideas. Brainstorm and develop creative concepts that not only align with the resort’s brand but also resonate with the local community and appeal to a wide range of guests.

Analyze existing events and programs to identify opportunities for enhancement. This could involve introducing new themes, incorporating interactive elements, or adding unique experiences that elevate the guest experience.

Design, plan, and execute a diverse range of community events, including seasonal festivals, vacation celebrations, charity events, and more.

Coordinate all aspects of event logistics, including vendor management, staffing, budgeting, and on-site execution.

Collaborate with various departments (e.g., Food & Beverage, Marketing, Spa, Recreation) to ensure seamless event delivery and alignment with the resort’s offerings.

Identify and build partnerships with local organizations and businesses to enhance the resort's community presence and offerings.

Work closely with the Director of Marketing and Marketing Manager to develop promotional strategies for events and programming, including social media, email marketing, and print materials.

Assist in creating content for promotional materials, including event descriptions, flyers, and digital content.

Monitor and analyze the effectiveness of events and promotions, providing insights and recommendations for future planning.

Gather and analyze guest feedback to continuously improve event offerings and guest satisfaction.

Gather and analyze internal feedback and provide detailed recaps for all events

Act as the on-site point of contact during events, ensuring a positive experience for all attendees.

Develop detailed budgets for each event and program, outlining all anticipated costs, including venue setup, staffing, marketing, entertainment, food and beverage, permits, and any additional resources. Ensure that all financial aspects align with the resort's overall financial objectives and constraints.

Prepare detailed financial reports after each event, including a breakdown of all costs, revenues, and profit margins. Analyze the financial performance of each event, identifying areas where costs can be optimized or where revenue opportunities can be increased for future events.

Oversee the payment process for all event-related vendors, ensuring that all invoices are accurate, within budget, and paid on time. Reconcile any discrepancies and maintain clear communication with the resort’s finance department.

Update menus as needed, including changes to pricing, dishes, or specials. Ensure that all physical and digital menus are current and accurate.

Create and update table tents, closure signs, and promotional materials. Ensure that all F&B collateral is visually appealing and consistent with brand standards.

Maintain and update hours of operation across all platforms, including in-house signage and online listings, ensuring that guests have accurate information.

Contribute new and creative ideas to promote revenue in each outlet. Work with the F&B team to brainstorm and implement innovative concepts that enhance the guest experience and encourage repeat visits.

Attend weekly Staff meetings upon request.

Assist Director of Marketing with any/all other projects as directed.

Flexibility to work varying shifts and days of the week in order to capture on social media the numerous Resort activities that occur on property. This will include nights, weekends and Holidays.

Must be able to speak, read, write and understand the primary language(s) used in the workplace.

Must have experience in Canva and Adobe

Must be able to write effectively and creatively.   

Must possess basic computational ability.  Must have excellent interpersonal and sales-related skills.

Must have exceptional organizational skills.

Must possess computer skills, including, but not limited to, use of Microsoft Word and Microsoft Excel.  Google Analytics experience preferred.

Be able to think outside the box, have excellent attention to detail and a real passion for marketing.

Prior Marketing experience preferred
