Overview:
Working directly with Client Meeting Planners on a timely basis to coordinate and service conference and convention groups. This includes room blocks, monitoring attrition, catering events, assist with off site events such as golf tournaments, etc., and all other group requirements. This position is also responsible for up selling contracted food and beverage minimums and effectively communicating the client/groups needs to all hotel departments as they relate.

Responsibilities:
Communicate directly with the Client Meeting Planner to coordinate group activities and needs with the appropriate department, both on and off property.

Be proactive so as to ensure the needs of assigned groups are satisfied and any corrective actions are taken when needed.

Ensure all function sheets are sent to the client and signed off on by the client on a timely basis prior to the meeting date.

Inspect meeting rooms prior to the start of the function for correct set up.

Greet clients in the morning. Review functions scheduled for the day (i.e. meal times, guarantee counts, and scheduled activities).

Maintain a working knowledge of sleeping, meeting, and dining room capabilities and capacities.

Client should be kept informed of all additional charges incurred throughout the program. Review all master account charges on a daily basis and have client approve and sign off on them.

Maintain correct revenues in Delphi for forecasting purposes.

Continuously work to up sell the client with creative menus, theme packages, Golf programs, etc., over and above the contracted food and beverage minimum.

Monitor group room blocks for attrition.

Obtain final programs from the meeting planner in an effort to clean up and release any space that was previously blocked but is actually not being utilized by the group. This will allow us to resell the space.

Qualifications:
ExperiencePrior experience as a catering or a convention services manager or assistant in an upscale full service hotel or hospitality industry environment

SkillPrior experience with Delphi or related group inventory database system

SkillSound people and interactive skills

SkillAbility to work independently, self motivated

SkillStrong multi tasking and organizational skills

SkillClear written and verbal communication skills

ExperiencePrior experience with Delphi or related group inventory database system

EducationSome college required
